Sofficient Systems Inc. ("Sofficient," "SOFF Sports," "we," "us," or "our") respects the privacy of vendors, facility operators, and authorized vendor personnel who use the SOFF Sports Vendor App ("Vendor App") and related vendor-facing services.
This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information in connection with the Vendor App and related services. The Vendor App is intended only for users who are 18 years of age or older.

2. Scope
This policy applies to personal information handled through the Vendor App, vendor-facing portions of SOFFSports.com, vendor and authorized employee accounts, vendor communications, and related booking, facility-management, settlement, support, and administrative services.
A separate privacy policy may apply to customers and members using SOFF Sports customer-facing services.
3. Information We May Collect
3.1 Account and Identity Information
We may collect names, email addresses, account identifiers, protected authentication credentials, roles and permissions, account status, vendor/facility affiliation, and information required to verify or administer authorized accounts.
Under the current model, vendor employee accounts are created or authorized by SOFF Sports administration for the applicable vendor.
3.2 Vendor and Facility Information
We may collect business/facility names and contact information, facility addresses, operating hours, sports and spaces offered, availability, scheduling and program information, facility descriptions and photographs, booking and attendance records, and information relating to the vendor's relationship with SOFF Sports.
Some of this may be business information rather than personal information. This policy applies where information identifies or can reasonably be associated with an individual.
3.3 Booking and Transaction Information
We may collect booking, reservation, attendance, cancellation, session-availability, vendor-settlement, payment-status, reconciliation, support, and dispute records.
SOFF Sports currently pays vendors by electronic transfer (e-transfer). The Vendor App does not currently require bank-account or payment-card details for vendor payments.
3.4 Photos, Camera, and Media
With device permission where required, the Vendor App may access the camera or photo library to take or upload facility photographs, upload permitted vendor content, scan supported codes/documents where offered, or use other features reasonably requiring camera/media access.
Users can manage these permissions through device settings, although disabling them may prevent related features from working.
3.5 Communications and Support
We may collect messages, support requests, feedback, complaints, dispute information, communication records, and information voluntarily supplied to resolve an issue.
3.6 Technical and Device Information
The Vendor App or our service providers may collect limited technical information needed to operate, secure, diagnose, and improve the service, including device type, operating system, app version, IP address, applicable device/application identifiers, login/security events, diagnostic information, crash information, and usage/performance information.
The exact information depends on the technologies enabled in the current app version.
3.7 Location Information
The Vendor App does not currently request or use the vendor user's device GPS location as a core feature.
Facility addresses and other business-location information may be stored and displayed as necessary. If a future Vendor App feature requires device location, we will provide appropriate notice and request permission where required.
4. How We Use Information
We may use information to create and secure accounts; verify authorized vendor users; operate the Vendor App; manage facility information and availability; facilitate bookings, attendance and cancellations; calculate and reconcile settlements; provide communications and support; resolve disputes; prevent fraud and unauthorized access; troubleshoot and improve the service; comply with legal, accounting, tax, regulatory, insurance, or contractual requirements; establish or defend legal rights; and carry out other disclosed or legally permitted purposes.
We seek to limit collection, use, and disclosure to purposes that are reasonable and appropriate in the circumstances.
5. Firebase, Analytics, Diagnostics, and Technology Providers
SOFF Sports expects to introduce Google Firebase and may use Firebase or similar providers for application infrastructure, authentication, analytics, crash reporting and diagnostics, security/fraud prevention, performance monitoring, and push-notification delivery.
The specific Firebase services and other SDKs enabled may change as the Vendor App develops. We will review this policy and applicable app-store disclosures when new technologies materially change our data practices.
6. Push Notifications
Push notifications are not currently an established Vendor App feature, but SOFF Sports expects to introduce them.
When enabled, notifications may relate to bookings, schedule changes, cancellations, operational alerts, account/security notices, vendor communications, and other relevant service updates.
Where device permission is required, users may choose whether to allow push notifications and may change preferences through device settings. Essential service or legal communications may still be sent by email or another available method.
7. Authentication
The Vendor App currently uses email and password authentication.
SOFF Sports may later introduce Google Sign-In, Sign in with Apple, one-time-password authentication, or other secure login methods. If additional providers are introduced, relevant information may be exchanged as necessary for authentication, subject to applicable notices and permissions.
8. Disclosure of Information
We do not sell personal information.
We may disclose information where reasonably necessary to vendors and authorized vendor administrators; SOFF Sports personnel; hosting, cloud, authentication, security, analytics, diagnostics, communications, notification, and technology providers; professional advisers; governmental or regulatory authorities where required or permitted by law; parties involved in a proposed or completed corporate transaction subject to appropriate protections; or another party with consent or as permitted by law.
Service providers are expected to handle information only for authorized purposes and with appropriate safeguards.
9. Cross-Border Processing
Some cloud or technology providers may process or store information outside Ontario or Canada. Information processed in another jurisdiction may be subject to that jurisdiction's laws and lawful access by courts, law-enforcement agencies, or governmental authorities.
SOFF Sports remains responsible for personal information under its control and uses appropriate contractual, organizational, and technical measures when engaging service providers.
10. Consent and Choices
Where consent is required, we seek consent appropriate to the sensitivity of the information and circumstances.
Users may be able to decline optional device permissions, update certain account information, request corrections, withdraw consent to optional uses subject to legal or contractual limitations, and request account or personal-information deletion.
Withdrawing consent or disabling permissions may limit functionality where the information is reasonably necessary for a requested feature.
11. Retention
We retain personal information only as long as reasonably necessary for the purposes for which it was collected, including account administration, bookings and settlements, business/accounting records, dispute resolution, security, legal/tax/regulatory/contractual/insurance obligations, and legal claims.
Retention periods may differ by record type. When information is no longer required, we take reasonable steps to delete, destroy, anonymize, or securely dispose of it, subject to applicable requirements.
12. Account and Data Deletion
Authorized Vendor App users may request account and associated personal-information deletion by contacting privacy@soffcricket.com.
We may verify identity and authority before processing a request. Following a valid request, we will delete or de-identify associated personal information unless retention is reasonably required or permitted for outstanding transactions/settlements, accounting/tax/legal records, fraud prevention/security, dispute resolution, agreement enforcement, or legal rights.
Deleting an individual vendor employee account does not necessarily require deletion of legitimate vendor or SOFF Sports business records, including historical booking, attendance, settlement, or accounting records that must reasonably be retained.
SOFF Sports will also provide an externally accessible account-deletion method or webpage where required for applicable app-store compliance.
13. Access and Correction
Subject to applicable law, individuals may request confirmation that we hold their personal information, access to it, information about its use or disclosure, and correction of inaccurate or incomplete information.
Requests should be sent to privacy@soffcricket.com. We may reasonably verify identity before granting access or correction. Legal exceptions may apply.
14. Security
SOFF Sports uses reasonable administrative, technical, and organizational safeguards appropriate to the sensitivity of information handled. These may include access controls, role-based permissions, authentication controls, secure transmission technologies where appropriate, restricted administrative access, monitoring/logging, provider security practices, and incident-response procedures.
No electronic transmission or storage method is completely secure, and absolute security cannot be guaranteed. Vendor users are responsible for protecting login credentials and should promptly notify SOFF Sports of suspected account compromise.
15. Vendor Employee Accounts
Under the current model, vendor employee accounts may only be created or authorized through SOFF Sports administration.
Vendors should inform SOFF Sports when an authorized employee changes roles, no longer requires access, or leaves the organization. SOFF Sports may suspend, restrict, or terminate accounts where necessary to protect users, vendors, SOFF Sports, or service integrity.
16. Age Requirement
The Vendor App is intended only for people 18 years of age or older.
We do not knowingly authorize minors to use Vendor App accounts. If we learn that an individual under 18 has been provided an account, we may suspend/remove it and take reasonable steps regarding associated personal information.
17. Cookies and Web Technologies
Vendor-facing portions of SOFFSports.com may use cookies or similar technologies reasonably necessary for authentication, security, session management, preferences, performance, and analytics where enabled.
Where required, additional notice or consent will be provided for non-essential technologies.
18. Privacy and Security Incidents
If an incident involving personal information occurs, SOFF Sports will assess it and take reasonable steps to contain, investigate, and remediate it. Where applicable law requires notification to affected individuals, regulators, or other parties, we will make required notifications.
19. Changes to This Policy
We may update this policy as the Vendor App, services, technology providers, or legal requirements change.
We will update the "Last Updated" date when changes are made. For material changes, we may provide additional notice through the Vendor App, website, email, or another appropriate method.
Continued use after an updated policy takes effect is subject to applicable law and does not replace consent where new consent is legally required.
